Five For A Dollar, LLC d/b/a intelliVOL ("intelliVOL," "x2VOL," "we," "us," or "our") is committed to protecting the privacy and security of students, educators, parents, schools, school districts, and other users of x2VOL.
x2VOL is an Experiential Learning Management Platform used by schools and other organizations to manage, document, verify, reflect upon, and measure student experiences, including community service, service learning, civic engagement, work-based learning, internships, career and technical education, college and career readiness activities, and other experiential learning.
This Privacy Policy describes the information we collect, how we use and protect it, when it may be disclosed, and the rights available to schools, parents, students, and other users.
We design our student-data practices to support compliance with applicable student privacy requirements, including the Family Educational Rights and Privacy Act ("FERPA"), the Children's Online Privacy Protection Act and Rule ("COPPA"), applicable state student privacy laws, and other applicable privacy and data-protection requirements.
When a school, school district, or other educational institution contracts with intelliVOL to provide x2VOL, the educational institution determines the educational purposes for which student information is provided to and processed through x2VOL.
When applicable under FERPA, intelliVOL operates as a contractor performing an institutional service or function for the educational institution and may qualify as a "school official" with a legitimate educational interest.
In that capacity, intelliVOL:
The school or school district remains responsible for determining which students and authorized personnel may use x2VOL and for administering applicable educational records in accordance with its own FERPA obligations.
Depending upon how x2VOL is used and configured by a school or other subscriber, we may collect account and identification information, including:

We limit collection of student information to information reasonably necessary to provide, secure, maintain, support, and improve the educational services authorized by the school or district.
Student personal information is used for authorized educational and operational purposes, including to:
Student information is not used for unrelated commercial purposes.
x2VOL may receive or maintain information that constitutes an education record or personally identifiable information from an education record under FERPA.
When intelliVOL receives such information from a school or district under the FERPA school-official exception, intelliVOL will use and maintain that information only for the purposes for which the educational institution disclosed it and in accordance with applicable contractual and FERPA requirements.
intelliVOL will not redisclose personally identifiable information from education records except as authorized by the educational institution or otherwise permitted or required by law.
Schools and districts control access to education records maintained through their x2VOL accounts.
Parents and eligible students seeking to exercise FERPA rights regarding records maintained by a school should generally direct their request to the applicable school or district. intelliVOL will reasonably assist the educational institution in responding to authorized access, correction, export, or deletion requests.
x2VOL may be used by students under 13 when authorized by a school, school district, parent, or legal guardian in accordance with applicable law.
When COPPA applies, intelliVOL will collect personal information from children only as permitted by COPPA and only to the extent reasonably necessary to provide the applicable service.
When x2VOL is provided to a school for an educational purpose and applicable law permits the school or district to authorize the collection of children's information on behalf of parents, intelliVOL may rely upon appropriately obtained school or district authorization for collection and use that is limited to the educational context.
intelliVOL remains responsible for complying with its obligations as an operator under COPPA.
When required, intelliVOL will provide the school, district, parent, or guardian with appropriate notice regarding the information collected from children and how that information is used and disclosed.
Parents, guardians, schools, or districts, as applicable, may request:
intelliVOL does not condition a child's participation on providing more personal information than is reasonably necessary for the applicable educational activity.
x2VOL may provide artificial intelligence, machine learning, analytics, or automated functionality, including functionality offered through impactIQ. impactIQ is a setting available to school staff and administrators and is off by default.
impactIQ may process authorized student information, including student reflections and experiential learning information, to provide educational insights such as identifying themes, skills, competencies, growth, engagement, or other indicators related to student experiences.
When AI functionality processes student information:
AI-generated results may contain errors or limitations and should be reviewed in the appropriate educational context.
Where required by law or contract, intelliVOL will conduct or support appropriate privacy, security, risk, or impact assessments associated with AI functionality.
intelliVOL does not sell student personal information.
We do not use student personal information for targeted advertising.
We do not create commercial advertising profiles of students based on their x2VOL activities.
We do not permit third-party advertising networks to use student personal information collected through school-authorized x2VOL accounts for behavioral or targeted advertising.
Information collected from students through school-authorized accounts is used for educational purposes, operation and improvement of x2VOL, security, support, and other purposes authorized by the educational institution or permitted by law.
x2VOL may use cookies, local storage, authentication technologies, and similar technologies that are reasonably necessary to:
We do not use student information collected through school-authorized x2VOL accounts to enable third-party behavioral advertising.
Students may submit reflections or other information describing their experiential learning activities.
Depending upon the activity or the content voluntarily submitted by a student, a reflection or experience record could reveal information that may be considered sensitive.
intelliVOL does not require students to disclose sensitive personal characteristics unless necessary for an authorized educational purpose established by the school or district.
Students should avoid including unnecessary highly sensitive personal information in reflections or other free-text fields.
Student information may be available to the school, district, or other group subscriber responsible for the student's x2VOL account, subject to the user's role and permissions.
Information concerning a specific experiential learning activity may also be made available to an organization or authorized individual when necessary to verify that the student participated in the activity.
We limit such disclosure to information reasonably necessary for verification or another authorized purpose.
intelliVOL uses service providers to support the operation of x2VOL. These providers may perform functions such as:
Service providers that receive student personal information are authorized to process that information only as necessary to provide contracted services to intelliVOL and are required to maintain appropriate privacy and security protections.
intelliVOL does not authorize subprocessors to sell student information, use it for targeted advertising, or use it for unrelated commercial purposes.
Where required by applicable student privacy law or contract, intelliVOL will require successors and applicable third parties receiving student information to comply with applicable privacy and security obligations.
intelliVOL maintains administrative, technical, and physical safeguards reasonably designed to protect the confidentiality, integrity, availability, and security of personal information.
Our security practices are designed to address areas such as:
No information system can be guaranteed to be completely secure. intelliVOL continually evaluates its security practices in light of the nature of the information processed and evolving risks.
intelliVOL maintains procedures for responding to suspected unauthorized access, acquisition, use, or disclosure of personal information.
If a security incident affects student information, intelliVOL will investigate the incident, take appropriate steps to contain and remediate it, and notify affected schools, districts, individuals, regulators, or other parties as required by applicable law and contractual obligations.
We will reasonably cooperate with affected educational institutions in meeting applicable student and parent notification requirements.
intelliVOL retains personal information only for as long as reasonably necessary to provide the x2VOL services, fulfill the authorized educational purpose for which the information was collected, comply with contractual requirements, meet legitimate security and operational requirements, or satisfy applicable law.
Student personal information will not be retained indefinitely merely because it may be useful in the future.
Schools and districts may request deletion of student personal information in accordance with applicable law and their agreement with intelliVOL.
When an account or contract terminates, intelliVOL will provide applicable data-return and deletion procedures consistent with the applicable agreement and legal requirements.
Residual copies may temporarily remain in secure backup systems until overwritten or deleted according to established backup-retention procedures, unless applicable law requires earlier deletion.
Students, parents, and guardians may have rights under applicable law to access, review, correct, export, or request deletion of personal information.
For school-managed accounts, these requests should generally be directed to the student's school or district because the educational institution controls the student's educational records.
intelliVOL will reasonably assist schools and districts in responding to valid requests.
Where intelliVOL is required to respond directly, we may take reasonable steps to verify the identity and authority of the person making the request before releasing, modifying, or deleting information.
Where required, student information may be provided in a reasonably accessible electronic or machine-readable format.
intelliVOL seeks to collect and process only personal information that is adequate, relevant, and reasonably necessary to provide x2VOL and fulfill authorized educational purposes.
We periodically evaluate the information collected by the platform and may discontinue collection or retention when information is no longer reasonably necessary.
x2VOL may use general location information when necessary to provide location-related functionality, such as identifying relevant experiential learning opportunities.
We do not collect precise geolocation information from children or students unless it is reasonably necessary for an authorized feature and permitted under applicable law.
Where applicable law requires consent or additional notice for precise geolocation information, intelliVOL will obtain or facilitate the required authorization before such processing.
Transactional communications may be sent to users regarding their accounts, activities, requirements, verification requests, system notifications, security matters, or other x2VOL services.
Student personal information obtained through a school-authorized account will not be used to market unrelated products or services to students.
Marketing communications related to x2VOL features such as newsletters and product updates are directed to adult administrators or other non-student users and may be sent as permitted by law. Recipients may unsubscribe from promotional communications using the instructions contained in those communications.
In addition to FERPA and COPPA, intelliVOL will comply with applicable state student privacy laws governing its provision of x2VOL.

Where a school or district contract provides protections greater than those contained in this Privacy Policy, intelliVOL will comply with the applicable contractual requirements.
When x2VOL provides services subject to applicable Virginia student privacy law, intelliVOL will process student personal information only for authorized educational purposes and in accordance with applicable contractual requirements.
Among other applicable protections, intelliVOL will:
intelliVOL may create aggregated or de-identified information for purposes such as operating, securing, evaluating, and improving x2VOL and understanding general program outcomes.
Information treated as de-identified will be processed using reasonable measures designed to prevent it from being associated with an identifiable student.
intelliVOL will not attempt to re-identify information that has been maintained as de-identified except where necessary to test or validate de-identification processes or as otherwise permitted by law.

Where legally permitted and appropriate, intelliVOL will seek to direct requests for school-controlled student records to the applicable educational institution.
If intelliVOL is involved in a merger, acquisition, reorganization, sale, or other transfer of all or part of its business, personal information may be transferred as part of that transaction subject to applicable law and contractual requirements.
Any successor receiving student personal information will be required, where applicable, to honor the privacy and security obligations governing that information.
A business transfer does not authorize the purchaser to use student information for targeted advertising, sale, or unrelated commercial purposes.
x2VOL is primarily designed to serve educational institutions and users in the United States.
Where intelliVOL agrees to provide services in another jurisdiction, applicable privacy and data-protection requirements will be addressed through the applicable agreement and privacy documentation.
Users should contact intelliVOL before deploying x2VOL in a jurisdiction requiring privacy or data-transfer protections not addressed by their existing agreement.
We may update this Privacy Policy to reflect changes in x2VOL, applicable law, technology, or our privacy and security practices.
When a change materially affects how student personal information is collected, used, maintained, or disclosed, intelliVOL will provide notice as required by applicable law or contract.
We will not materially expand the use of previously collected student information for an incompatible purpose without obtaining any authorization or consent required by applicable law.
The effective date at the beginning of this Privacy Policy identifies when this version became effective.
